Getting started

Merge X is still being built. When sign-in opens, a campaign works like this:

  1. Sign in with your Google account.
  2. Connect Gmail. Google asks you to let Merge X send email for you. It can't read your email.
  3. Pick a Google Sheet. The sheet needs a header row and a column of email addresses. Each other column can be used as a merge field.
  4. Write your email. Put a column's header in double braces, like {{First Name}}, and each person gets their own value. Case and extra spaces don't matter.
  5. Send yourself a test and check it, including the From line.
  6. Start the campaign. Merge X writes each row's status back to your sheet as it sends.

Sending from another address (Send mail as)

To send from an address other than your Gmail address, such as hello@yourdomain.com, first add it to Gmail. This needs Gmail in a computer browser; the Gmail phone app can't do it.

  1. In Gmail, open Settings, then See all settings.
  2. Open the Accounts and Import tab (Accounts on Google Workspace).
  3. Under "Send mail as", choose "Add another email address" and follow the steps, including the confirmation email.

Important: if the address isn't set up in "Send mail as", Gmail doesn't warn anyone. It quietly sends from your main Gmail address instead. Merge X can't see your list of addresses (we don't ask for that permission), so always send yourself a test and check the From line before you start a campaign.

Google has announced that from January 2027, Gmail will stop supporting "Send mail as" for addresses hosted outside Google, such as Yahoo or Outlook addresses. It says other Gmail addresses you own and Google Workspace aliases are not affected. Check Google's guide to sending from another address for the current details.

Sending limits and why we send slowly

Gmail limits how much one account can send: about 500 emails a day on a free Gmail account and about 2,000 on Google Workspace. New accounts can have lower limits. If you go over, Gmail stops your sending for up to 24 hours. See Google's sending limits.

Merge X stays below those limits:

Sending in fast bursts looks like spam, to Gmail and to the people receiving it. When a campaign reaches the cap, it pauses and carries on when there is room again. You don't need to do anything.

SPF, DKIM and DMARC for your own domain

If you send from an address on your own domain, mail servers check that the domain allows the server that sent the email. Without these checks, your emails are likely to land in spam or be rejected. They are DNS records you add where your domain's DNS is managed:

If your domain's email runs on Google Workspace, follow Google's guides: set up SPF, set up DKIM and set up DMARC. If it runs somewhere else, your email provider has its own guide. Google's email sender guidelines explain what Gmail expects from senders.
